At TutoraX, we are committed to protecting the privacy and security of the personal information of our users — students, parents, academy owners and staff. This Privacy Policy explains what information we collect, how we use it, who we share it with, and how we keep it safe when you use the TutoraX platform. By using TutoraX, you agree to the practices described in this policy.

Who We Are

TutoraX is a smart learning platform for tuition academies in Sri Lanka. Our services let academies manage classes, schedules, materials, recordings, payments and special events, and let students join those academies and access their learning content.

Information We Collect

When you use the platform (as a student, parent, academy owner or staff member), we may collect:

• Account details: your name, email address, phone number, NIC/ID, profile photo and chosen academy, provided voluntarily during registration.
• Enrolment and learning data: which academy and classes you join, your attendance, payment records and slips, class materials you view, and recordings you watch on the platform.
• Technical data: IP address, browser type and version, device information, and usage statistics collected automatically through cookies and similar technologies.
• Payment information: when you pay on the platform, card or bank details are handled directly by our third-party payment provider (PayHere). TutoraX does not store full card or bank account numbers.

Consent for Students Under 18

If you are under the age of 18, you must have the consent of a parent or legal guardian to create an account and use TutoraX. By creating an account you confirm that such consent has been given.

How We Use Your Information

• To provide, operate and improve the platform and its features (classes, recordings, materials, events, chat).
• To process payments and subscriptions and to keep payment records.
• To communicate with you about your account, payments, class updates and support requests.
• To enable the academy you belong to, run its day-to-day operations (class lists, attendance, results, chat with students).
• To detect and prevent fraud, unauthorised access and misuse of the platform.
• To comply with applicable laws of Sri Lanka.

Information Sharing

We value your privacy and we do not sell or rent your personal data. We share it only in these limited circumstances:

• Your academy: when you join an academy, the academy's owner and staff can see your profile, enrolment, attendance and payments so they can run your classes. Handling of your data by the academy is governed by that academy's own policies and practices.
• Service providers: trusted partners who help us run the platform (hosting, email, cloud storage, analytics). They are contractually obliged to handle data securely and confidentially.
• Payment processors: PayHere and participating banks, as needed to complete your transactions.
• Legal requirements: we may disclose information if required by law, court order or a valid request from a State authority in Sri Lanka.

Recording & Class Content

Academies may upload class recordings and learning materials to the platform. These are shared only with the students enrolled in the relevant class of that academy. Students must not download, copy or redistribute them. The platform may record the fact that a recording was accessed to help academies track engagement.

Data Security

We apply industry-standard technical and organisational safeguards — encrypted connections (HTTPS), secure session management, role-based access control and restricted infrastructure access — to protect personal information from unauthorised access, alteration, disclosure or destruction. No method of transmission over the internet is 100% secure, however, and we cannot guarantee absolute security.

Cookies and Tracking

We use cookies and similar technologies to keep you signed in, remember your preferences, analyse traffic and improve the platform. You may disable cookies in your browser settings, but some features may then not work correctly.

Data Retention

We keep account information for as long as your account is active, and for a reasonable period afterwards to comply with record-keeping, payment reconciliation and legal obligations. You can close your account and we will delete or anonymise personal data we no longer need.

Your Rights

You may request access to, correction of, or deletion of your personal information, and you may object to certain processing. To exercise these rights, contact us using the details below. We will respond within a reasonable time.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with a revised "last updated" date. We encourage you to review it periodically.
